SAP Service Cloud Installed Base

An Installed Base in SAP Service Cloud is “a hierarchical arrangement of items installed at your customer’s location” — a container record created manually from a worklist that other objects then attach to, directly or through each other. Its own field template carries no parent-pointer field of any kind and no Warranty field, which — combined with the confirmed Parent Installed Base UUID field present on Functional Location, Product Installation Point, and Registered Product — makes Installed Base the root of a flexible, multi-level tree rather than the midpoint of a fixed two-branch model. It is also, unlike Warranty, one of four object types with its own direct, first-class reference from Case, via a dedicated “Case Installed Bases” subentity. This article maps that structure precisely, covers the customer and party-role fields entered when an Installed Base is created, and flags where a naming collision or a documentation gap should change how you build with it.

Part 1: Installed Base — Core Concepts (All Modules)

1.1) What Is the Installed Base?

Hub-and-spoke diagram showing Installed Base at the center with solid inbound reference arrows from Functional Location, Product Installation Point, and Registered Product (each labeled “Parent Installed Base UUID”), a solid inbound reference arrow from Case labeled “Case Installed Bases subentity — Installed Base ID field”, and a solid outbound reference arrow to Account labeled “base customer/contact”

An Installed Base exists to answer one question: what products and locations belong to this customer, arranged hierarchically? SAP Service Cloud answers this with a container record — Installed Base — that other item-level objects attach to, either directly or through one another, rather than a record that reaches out and attaches itself to something else. The Feature Scope Description confirms Installed Base can be viewed from either direction — “by customer or product” — consistent with it acting as an aggregation point over whichever product-bearing items a given customer’s site actually has installed.

AspectDetails
RoleThe root/top-level container of the product-and-location hierarchy for a given customer; the anchor that Functional Location, Product Installation Point, and Registered Product items attach to, directly or through each other. Its own field template carries no parent-pointer field and no Warranty field — it is never the referencing (child) side of these relationships.
Modules using itSAP Service Cloud (sole owner of the Installed Base object, its worklist, and its work-center tile — technical name sap.crm.service.installedBaseService). No S/4HANA counterpart or replication scenario is confirmed for Installed Base itself (see S/4HANA note).
TransactionsInstalled Base worklist — click Create, enter Description, Account, Contact, and select the Customer Type, then Save.
Key TablesNo classical ABAP tables — SAP Service Cloud is multi-tenant SaaS; the Installed Base header entity and its party-role/address fields are exposed only as OData / import-export field templates.
S/4HANA noteNo official replication or integration scenario was found for Installed Base itself — the Solution Guide documents only a manual, in-app worklist creation procedure. This differs from Functional Location, whose create-from-Installation-Point path explicitly “supports… replication from SAP S/4 HANA.” Treat manual creation as the documented default for Installed Base, not as proof that no customer-specific integration can exist.

Naming collision — “Installed Base” means at least two unrelated things elsewhere in the SAP portfolio. This object shares nothing but a name with: (1) SAP S/4HANA (on-premise) and classic ECC “Installed Base Management (CS-IB)” — a Plant Maintenance / Customer Service application component (table IBIB) that groups Equipment, Functional Location, and serialized Material into a common installed base via a tree-control maintenance screen, with a hard constraint that “a piece of equipment, functional location, or material with serial number may only exist in one installed base at any one time”; this on-premise object is also the one historically shared with classic SAP CRM Service (WebClient, IB5x-range transactions); and (2) SAP Field Service Management’s own “Assets/Installed Base” concept, maintained in its own separate cloud data model and REST API for service-order scheduling/dispatch context. Both are architecturally distinct products from SAP Service Cloud Version 2’s Installed Base object, despite the shared term. Not a collision: SAP Cloud for Customer (C4C), the ticket-based predecessor product, has what is functionally the same Installed Base concept researched here — direct product lineage across SAP’s Case/ticket-based cloud service generations (C4C → SAP Sales and Service Cloud → SAP Service Cloud Version 2), not a separate, same-named concept.

1.2) Customer Type and Party-Role Variations

Comparison grid contrasting the five party-role field pairs on Installed Base — base Account/Contact, Owner, Payer, Bill-To, and Ship-To — each shown as either an Account UUID or an Individual Customer UUID reference

At creation, an admin selects only “the type of the customer” alongside Description, Account, and Contact — but the full field template exposes five distinct party-role slots, each of which can independently point to either a corporate Account or an Individual Customer. Getting the wrong role populated (or leaving a role unpopulated when the business actually needs it) means invoices routed to the wrong entity or field-service visits scheduled against the wrong site contact.

Party RoleField PairUse CaseKey Behavior
Base Customer (Account/Contact)Account_Account UUID + Account_Contact UUID, or Individual Customer_Individual Customer UUIDThe Installed Base’s primary customer link, entered at creationThe only mandatory party-role pairing; determines the default account/contact context surfaced in the worklist and when a Case is created from the Installed Base.
OwnerOwner Account_* / Owner Individual Customer_*Distinguishing the site’s legal owner from the account holderRelevant for leased, subcontracted, or third-party-serviced equipment where the entity that legally owns the installed items differs from the primary Account.
PayerPayer Account_*Billing responsibility distinct from the primary AccountUsed when a parent company holds the primary Account but a subsidiary or cost-center site actually pays the invoices.
Bill-ToBill-to Account_* / Bill-to Individual Customer_*Billing address/contact distinct from the primary AccountCommon for multi-site corporate customers with centralized accounts-payable processing separate from the site itself.
Ship-ToShip-to Account_* / Ship-to Individual Customer_*Physical delivery location distinct from the primary AccountRelevant when replacement parts or field-service shipments must reach a different address than the primary Account’s billing address.

Design principle: The primary Account or Individual Customer entered at Installed Base creation is not automatically the Payer, Bill-To, or Ship-To party — each of those roles (plus Owner) is a separately populated field pair on the same record, and only the base Account/Contact pairing is mandatory.

1.3) Organizational Levels and Data Hierarchy

Zone-style diagram showing an Account at the top, an Installed Base nested beneath it as the root container, a Functional Location nested under the Installed Base with a Product Installation Point nested one level further under that Functional Location, a Registered Product nested directly under the same Installed Base, and a Case with a solid reference arrow into the Installed Base labeled “Case Installed Bases subentity”

Data hierarchy with a concrete example (tenant-level; SAP Service Cloud has no Company Code / Plant scoping above this)

          │
└── Installed Base "IB-40210 — Acme Mfg, Yokohama Plant, Packaging Line 2"
│ (ROOT — its own field template carries no Parent-* field
│ and no Warranty field; it is never the referencing/child
                 │ side of any relationship)
                 │
├── Functional Location "FL-8801 — Packaging Robot Cell"
                 │ (Parent Installed Base UUID = IB-40210)

                 │ (Parent Installation Point UUID = FL-8801 — illustrates
│ that an Installation Point can nest under a Functional
│ Location instead of directly under Installed Base)
                 │
                 └── Registered Product "RP-90215 — Serial# CNV-2024-118"
(Parent Installed Base UUID = IB-40210 — attached directly,
                           the other supported nesting pattern)

Case "CS-500311 — Conveyor motor overheating, packaging line down"
     ── references ──> Installed Base "IB-40210"
(direct field-level link via the "Case Installed Bases" subentity —
           Installed Base ID field)

Design principle — Installed Base is the sole root of a flexible tree, not one branch of a fixed two-level model. Functional Location, Product Installation Point, and Registered Product each carry all three parent-pointer fields (Parent Installed Base UUID, Parent Registered Product UUID, Parent Installation Point UUID) — only one of which is populated at a time in practice — meaning any of the three item types can nest directly under an Installed Base, or one level deeper under another item. The Setup Guide’s own creation guidance even frames Functional Location, Registered Product, and Product Installation Point as UI-level “categories” of one broader underlying “Installation Point” concept, differentiated mainly by which tab a record is displayed in — a well-evidenced nuance, though not fully cross-confirmed by a single unifying technical statement elsewhere.

1.4) Integration with Other Master Data Objects

Hub-and-spoke diagram showing Installed Base at the center with solid direct-reference arrows to Functional Location, Product Installation Point, Registered Product, Account, and Case, and no line at all to Warranty

Installed Base does not stand alone — it is the container the flexible item-tree attaches to, the party-role anchor Account and its billing/shipping variants reference, and one of only four object types with a genuine direct reference from Case.

ObjectRelationshipPractical Notes
Functional Location (SC-A11-02)Direct — carries Parent Installed Base UUID (plus Parent Registered Product UUID and Parent Installation Point UUID)A sibling “item” entity type that can nest directly under this Installed Base or one level deeper under another item; the Setup Guide’s create-from-Installed-Base flow pre-populates customer and installed-base context when built this way.
Product Installation PointDirect — identical three-field parent-pointer patternThe third generic sibling item type; can be created from Installed Base, Functional Location, or Registered Product per the Solution Guide’s own Chapter 29 definition.
Registered Product (SC-A10-03)Direct — identical three-field parent-pointer patternAlso nests directly under Installed Base or under another item; unlike the other two item types, it additionally references a Product master, which is the object that actually replicates from SAP S/4HANA.
AccountDirect — Account_Account UUID / Account_Contact UUID on the Installed Base’s own field templateThe base customer link entered at creation; Owner, Payer, Bill-To, and Ship-To are separate, optional party-role variants of the same Account/Individual Customer pairing (Section 1.2).
CaseDirect — dedicated “Case Installed Bases” join-subentity (Installed Base ID field)The Solution Guide names “Create cases for installed base” as a first-class capability, structurally identical to Case’s confirmed direct links to Functional Location, Product Installation Point, and Registered Product.
Warranty (SC-A10-04)Indirect only — Installed Base’s own dependency table and full field template both confirmed absent for WarrantyReached only through whichever Functional Location or Registered Product items the Installed Base contains; Installed Base never carries a Warranty_* field of its own.

Genuine direct relationship, not a myth to bust. The Warranty sibling article found Case has no direct field-level link to Warranty. Installed Base is the opposite case: the “Case Installed Bases” subentity is a real, confirmed, first-class link at the data-model level, in the same structural family as Case’s direct links to Functional Location, Product Installation Point, and Registered Product. Do not assume Installed Base only reaches a Case indirectly through its contained items — it has its own direct reference.

Coverage gap — no confirmed S/4HANA replication scenario for Installed Base itself. All documented creation guidance for Installed Base describes a manual, in-app worklist action only. Do not assert that Installed Base is commonly created via automated S/4HANA replication in a given implementation; treat manual creation as the documented default rather than an absolute claim that no customer-specific integration exists.

Part 2: SC-Specific Field Details

2.0) Scope of SC Ownership

Checklist showing SC ownership across Installed Base’s six data sections: Core Identification & Status, Customer & Party Roles, Address & Geolocation, Service Assignment, Case Linkage, and Work Center & Access Control

Data SectionSC InvolvementNotes
Core Identification & Status◎ OwnerID, external key, and Status — establishes which Installed Base this is and whether it currently accepts item attachments and Case references.
Customer & Party Roles◎ OwnerThe base Account/Contact plus the four optional variant roles (Owner, Payer, Bill-To, Ship-To) covered in Section 1.2.
Address & Geolocation◎ OwnerThe full postal address block plus latitude/longitude — the physical location the hierarchy of items sits at.
Service Assignment◎ OwnerService Technician Team, Responsible Planner, Service Technician, and Employee Responsible — who is accountable for this site.
Case Linkage (Case Installed Bases Subentity)○ Direct involvementThe join fields that live on the Case side but exist specifically to reference this Installed Base directly.
Work Center & Access Control○ Direct involvementDedicated Installed Bases work-center tile, granted per Business User via Business Role assignment.

Legend: ◎ = Owner / Critical, ○ = Direct involvement

2.1) Core Identification & Status

Checklist of Installed Base’s core identification fields: ID, external_key, Status

These fields establish which Installed Base this is and whether it is currently active — every party-role, address, and assignment field below only matters once these are set.

FieldDescriptionPractical Usage
IDSystem identifier for the Installed Base, used as the link target for the Case Installed Bases subentity’s Installed Base ID fieldThis is the value a Case’s direct reference actually points to — confirm it before scripting any Case-side integration or reconciliation logic.
external_keyImport/export key for bulk data operationsMandatory for any mass-import of Installed Base records; distinct from the system ID and used purely for migration/integration reconciliation.
StatusWhether the Installed Base is currently active for new item attachments and Case referencesNo official enumerated value list was found for this field in this research pass — treat any specific Status value set as illustrative only, and confirm against the current tenant before relying on it.

2.2) Customer & Party Roles

Stack-layered diagram of Installed Base’s party-role field pairs: Account/Contact, Individual Customer, Owner, Payer, Bill-To, Ship-To

These fields place the Installed Base against the correct customer and — where the business needs it — a separate owner, payer, or delivery party, as introduced in Section 1.2.

FieldDescriptionPractical Usage
Account_Account UUID / Account_Contact UUIDThe primary corporate customer and its contact person for this Installed BaseThe only mandatory party-role pairing; drives the default account/contact context shown when an agent creates a Case directly from this Installed Base.
Individual Customer_Individual Customer UUIDThe primary customer when the site belongs to a private individual rather than a companyPopulated instead of, not alongside, the Account pairing — confirm which customer type applies before data entry, since the two are mutually exclusive base-customer paths.
Owner Account_* / Owner Individual Customer_*The legal owner of the installed items, if different from the primary AccountPopulate explicitly for leased or subcontracted equipment scenarios; leaving it blank defaults the reader’s assumption to “owner equals primary Account,” which is not always correct.
Payer Account_*The entity responsible for invoices related to this Installed BaseSet when a parent company holds the primary Account but a subsidiary or cost center actually pays — otherwise billing may default incorrectly to the primary Account.
Bill-to Account_* / Bill-to Individual Customer_*Billing address/contact, if distinct from the primary AccountCommon for centralized accounts-payable processing at multi-site corporate customers; confirm with the customer’s finance team before assuming the primary Account’s address is billing-correct.
Ship-to Account_* / Ship-to Individual Customer_*Physical delivery address/contact, if distinct from the primary AccountRelevant whenever replacement parts or field-service shipments need to reach a location different from the primary Account’s billing address.

2.3) Address & Geolocation

Checklist of Installed Base’s address and geolocation fields: postal address block, geographical latitude, geographical longitude

These fields record the physical site the item hierarchy actually sits at — the location a field technician is dispatched to when a Case is raised against this Installed Base.

FieldDescriptionPractical Usage
Address_Postal Address_*The full postal address block for the installed base’s physical siteKeep this current independently of the Account’s own address — a customer’s billing address and the physical site an Installed Base sits at are frequently different, especially for multi-site corporate customers.
Address_Geographical Location_Latitude / LongitudeGeographic coordinates for the siteUseful for field-service dispatch and mapping integrations; no source in this research documents whether these coordinates are entered manually or geocoded automatically from the postal address — confirm actual tenant behavior before relying on either assumption.

2.4) Service Assignment

Stack-layered diagram of Installed Base’s service assignment fields: Service Technician Team, Responsible Planner, Service Technician, Employee Responsible

These fields determine who is accountable for the site once a Case is raised against it — getting them wrong routes work to the wrong team before the Case Routing Rule configuration is even evaluated.

FieldDescriptionPractical Usage
Service Technician Team UUIDThe Team (SC-A02-05) generally responsible for service work at this Installed BaseSets a default assignment context for the site; confirm it is kept current as team structures change, since a stale value can silently misdirect field-service planning.
Responsible Planner UUIDThe Employee (SC-A02-02) who plans service activity for this Installed BaseTypically a back-office or scheduling role distinct from the technician who actually performs the work.
Service Technician UUIDThe Employee (SC-A02-02) who performs service work at this Installed BaseRepresents a default/preferred technician assignment for the site, not necessarily the technician assigned to every individual Case raised against it.
Employee Responsible UUIDThe Employee (SC-A02-02) with overall accountability for this Installed BaseDistinct from Service Technician and Responsible Planner — this is an ownership/accountability field rather than an operational assignment field.

2.5) Case Linkage (Case Installed Bases Subentity)

Hub-and-spoke diagram showing a Case node with a solid arrow into an Installed Base node, annotated with the join-entity field names parent_external_key and Installed Base ID

These two fields live on the Case side of the relationship, not on Installed Base itself — but they are the actual mechanism that gives Case a direct, first-class reference to an Installed Base, so they belong in this article’s field-level scope.

FieldDescriptionPractical Usage
parent_external_keyLinks this Case Installed Bases row back to its owning Case recordMandatory for any bulk import of Case-to-Installed-Base links — a row with no valid parent key will fail to load.
Installed Base IDThe ID (Section 2.1) of the referenced Installed BaseThis is the field that makes the relationship direct rather than inherited — populate it whenever a Case genuinely concerns the site as a whole, not just one item within it.

Prerequisite: This subentity is structurally identical in form to the confirmed “Case Functional Locations,” “Case Registered Products,” and “Case Product Install Points” subentities — all four item/container types have their own direct Case join-subentity; none requires going through another object to be linked to a Case.

2.6) Work Center & Access Control

Checklist of Installed Base’s access-control fields: Work Center Technical Name, UI App Name, Business Role Assignment

Like the other master-data objects in this batch, access to the Installed Bases worklist is governed entirely through Business Role assignment, not through any field on the Installed Base record itself.

FieldDescriptionPractical Usage
Work Center Technical Namesap.crm.service.installedBaseServiceStable technical identifier for the Installed Base work center — use this when scripting or auditing Business Role assignments rather than relying on the display label alone.
UI App Namesap.crm.installedbaseservice.uiapp.installedBaseThe specific UI app tied to the work-center tile; confirms Installed Base has its own dedicated app rather than being a tab inside another object’s screen.
Business Role AssignmentGrants a Business User access to the Installed Bases work center via System Settings → Business RolesFollows the identical access-control pattern already confirmed for other Service Cloud master-data objects in this batch — no Installed-Base-specific authorization object exists beyond the standard Business Role mechanism.
